Vocolove is committed to protecting your privacy and handling personal information responsibly and transparently.

This policy applies to all clients, including adults, children and young people (via a parent/guardian), and clients accessing services privately or through funding arrangements such as the NDIS.

1. Information We Collect

We may collect personal and sensitive information including:

  • names, contact details, date of birth

  • health, voice, and communication history

  • assessment findings and session notes

  • correspondence and administrative records

  • parent/guardian details for clients under 18

2. Why We Collect Information

Information is collected to:

  • provide voice therapy and coaching services

  • communicate with clients and nominated contacts

  • maintain accurate records

  • manage billing and administration

  • coordinate care with other professionals (with consent)

  • meet ethical and legal obligations

 

3. How Information Is Collected

Information may be collected via:

  • intake forms and questionnaires

  • verbal discussion during sessions

  • written or electronic correspondence

  • referrals or reports from other professionals (with consent)

4. Storage and Security

Reasonable steps are taken to protect information from misuse, loss, or unauthorised access. Information is stored securely using password-protected systems and secure practice management software.

 

5. Disclosure of Information

Information may be disclosed:

  • with consent, to relevant professionals

  • for billing or funding purposes

  • where required or authorised by law

Information is not used for marketing, training, or research without explicit consent.

 

6. Session Recordings

Where sessions are audio recorded, this occurs only with consent and for professional purposes. Recordings are stored securely and deleted once no longer required.

 

7. Use of Administrative Tools

Administrative and documentation tools may be used to support service delivery. Identifiable personal information is not shared with third-party tools without consent.

 

8. Access and Correction

Clients may request access to their personal information or request corrections. Requests will be handled within a reasonable timeframe.

 

9. Record Retention

Records are retained in accordance with applicable legislation and professional guidelines.

 

10. Complaints

Privacy concerns can be raised directly with Vocolove. Unresolved complaints may be referred to the Office of the Australian Information Commissioner (OAIC).

 

11. Updates to This Policy

This policy may be updated from time to time. The current version is available on request or via the Vocolove website.

Terms & Conditions

These Terms & Conditions apply to all services provided by Vocolove. By booking, purchasing, or participating in any Vocolove service, you agree to the following terms.

1. Services

Vocolove provides voice-related services which may include:

  • voice therapy (speech pathology)

  • voice coaching and education

  • singing and performance coaching

  • workshops, programs, and assessments

The nature of services will be discussed and agreed upon prior to commencement.

2. Booking & Payment

  • All sessions must be booked in advance.

  • Fees are outlined on the Vocolove website or confirmed at the time of booking.

  • Payment is required as per booking instructions.

  • Written reports or additional documentation may incur an additional fee, which will be discussed in advance.

3. Service Agreements

Clients may be required to complete and sign a Service Agreement prior to commencing services, including initial assessments.

4. Scope of Services

  • Coaching and educational services are not a substitute for medical diagnosis or treatment.

  • Voice therapy services are provided within the scope of speech pathology practice.

  • Medical diagnosis may require referral to an ENT or other medical professional.

5. Cancellations & Non-Attendance

Cancellations and non-attendance are governed by the Vocolove Cancellation Policy, which forms part of these Terms & Conditions.

6. Privacy & Confidentiality

Personal information is handled in accordance with the Vocolove Privacy Policy and applicable Australian privacy legislation.

7. Communication

Email or the practice management system is the primary method of service-related communication. Social media platforms are not used for clinical communication or appointment management.

8. Intellectual Property

All resources, materials, exercises, and written content provided by Vocolove remain the intellectual property of Vocolove and may not be reproduced or shared without permission.

9. Changes to Terms

Vocolove may update these Terms & Conditions from time to time. The current version will always be available on the Vocolove website.
